Users


The Users page displays a list of Confirmed and Unconfirmed users in separate tabs and allows you to manage your workforce (SAFE Me users) in SAFE.

  • Unconfirmed Users: All the users uploaded via bulk upload will be available under the Unconfirmed user list. Unconfirmed users are those SAFE Me users that are uploaded to SAFE but have not yet signed up to the SAFE Me application.
  • Confirmed Users:  Once the uploaded SAFE Me users sign up on the SAFE Me application, the system automatically moves them into the Confirmed user list. 

The user list displays the details such as name, department, location, phishing status, Proofpoint VAP, Proofpoint VIP,  SAFE Score, and many other details. SAFE allows you to filter, customize, sort, and export the user list table. You can also search users in the user list table using the search box.

Notes
  • Phishing Status gets added when you configure KnowBe4 in SAFE to add phishing campaigns or directly add a Phishing campaign.
  • Proofpoint VAP/VIP information gets added when you configure Proofpoint in SAFE.
  • A user may have multiple Phishing statuses. In that case, the system displays all the Phishing statuses for the user when you hover over the phishing status column.

Export User List

You can export the user list in CSV by clicking the download icon available at the top-right of the user list table. 

To export the user list:

  1. Go to People > Users.
  2. Click the Download icon available at the top-right of the user list table.
  3. The system asks you to set a password. Set a password for your CSV.
  4. Click the Generate button. The system automatically downloads a file on your computer. Use the same password you have set in step 3 to open the CSV file.

Search Users 

You can search for a user in the User List table using the search box available at the top-right of the table. The system starts displaying the search results as you start filling in the characters in the search box.

Filter User List


You can filter the user list based on the attributes Department, Score, Location, Exposure count, Phishing Status, Proofpoint VAP, and Proofpoint VIP.

To filter the user list:

  1. Go to People > Users.
  2. Click the Filter icon available at the top-right of the user list table.
  3. Select the attributes, operator, and value from the drop-down.
  4. You can use multiple filters. Click the Plus button to add multiple filters.
  5. The system filters the list based on the selected attributes, operators, and values.

  • While using the Phishing Status, ProofpointVAP, and ProofpointVIPfilters, the system takes a little longer to update the user list.

Customize User List


SAFE allows you to customize the user list columns. You can select a maximum of 8 columns of your choice to display in the user list table.

To customize the user list:

  1. Go to People > Users.
  2. Click the Customize icon available at the top-right of the user list table.
  3. Select the columns from the drop-down list by clicking them.
  4. SAFE automatically saves your selection and customizes the table.

You can sort the columns of the User List table by clicking the header of any of the columns.

Upload Users - People


Important
This section provides the instruction to upload SAFE Me users (for People Assessment) of your organization. Do not confuse this with the SAFE users of your organization.

SAFE allows you to bulk upload SAFE Me users in bulk via a CSV file. Follow the below step-by-step procedure to upload users:

  1. Navigate to People > Users
  2. Click the Add Users button.
  3. On the pop-up, click the Download Template button. A bulk user upload template will be downloaded to your computer.

  4. The template has two mandatory fields - Name and Email. Other fields like Department, Location and Designation are optional.
  5. Enter the users’ details in the template and save it.
  6. Browse and Upload the template file by clicking the Select File button.
  7. Once the file gets uploaded successfully, the uploaded users will be available under the Unconfirmed Users list.
Note
  • In the template, two fields are mandatory - Name and Email. Other fields like Department, Location and Designation are optional.
  • All the uploaded users in bulk will be available in the Unconfirmed Users list. Once the user signs up to the SAFE Me application, the system automatically moves them into the Confirmed Users List.
  • No notifications are sent out to the users by the system when uploaded. The communication should be sent through the Organization’s own channels to sign up. (This is to ensure that the users confirm their email address through a verification code at the time of sign-up).

Edit User - People


Admin can edit the user’s details from the Users page.
To edit a user:

  1. Navigate to the People > Users page.
  2. Click the Edit icon available in the Manage column.
  3. Now, edit the details and click the Save button.

Delete User - People


Admin can delete a user from the Users page.
To delete a user:

  1. Navigate to the Users page.
  2. Click the Delete icon available in the Manage column.
  3. On the confirmation screen, click the Delete button.
